Why phone, email and rep orders need wholesale prices too
Plenty of wholesale orders never go through the storefront. A buyer phones in a repeat order, emails a spreadsheet, or confirms an order at a trade show, and someone on your team builds a draft order in the Shopify admin. Your trade prices live in pricing rules, though, and a draft built by hand starts from the regular variant prices.
Typing a discount on every line is slow and easy to get wrong, especially with several price levels, volume tiers and per-product overrides. Repricing a draft from the same rules that power your storefront means the buyer pays the same price over the phone as they would online.
- Consistency: the same rule, tag and tier logic as checkout.
- Speed: one click instead of editing dozens of lines.
- A clear audit: each line shows which rule set its price.
Your options on Shopify
In the Shopify admin you can create a draft order and add a discount to each line item or to the whole order by hand. That works for occasional orders with one flat discount. If you use Shopify's built-in B2B features with companies and catalogs, draft orders for a company can follow its catalog; see Shopify's B2B guide.
If your trade prices live in Nexora B2B Wholesale Pricing rules (customer tags, specific customers, volume tiers), the app's Draft orders page reprices drafts from those rules. The app is free.
How to reprice a draft order with Nexora B2B Wholesale Pricing
- Create the draft in Shopify
In the Shopify admin, create a draft order, add the products and quantities, and select the buyer's customer account. The customer is what lets tag-based and customer-specific rules match.
- Open Draft orders in the app
Go to Order forms → Draft orders. The list shows your open drafts with Draft, Customer, Total, Badges and Created columns. A draft without a customer shows No customer.
- Review the line preview
Click the draft. Line pricing preview lists each line with Product, Qty, Original, Proposed and the Rule that matched. Lines that no rule matches show a dash. The Summary card shows Current total, After repricing and how much the buyer saves.
- Apply the prices
Click Apply wholesale pricing and confirm with Apply. The app updates the draft in Shopify with per-line Wholesale price discounts. A toast tells you how many lines were repriced.
- Apply payment terms (optional)
If a payment term matches the customer, Next steps shows Apply payment terms with the term's name underneath. Click it to add the terms to the draft.
- Send a proforma (optional)
Click Send proforma invoice to email the buyer a proforma for the repriced draft. It appears under Order forms → Invoices.
- Finish in Shopify
Use Open draft in Shopify admin in the Customer card to go back to the draft, then send the invoice or mark it as paid as you normally would.
What you see on the Draft orders page
| Element | Meaning |
|---|---|
| Repriced badge | Wholesale pricing has already been applied to this draft. |
| From quote badge | The draft was created from a quote in Quotes & orders. |
| Custom badge on a line | A custom line item added in Shopify rather than a product variant. |
| No lines match your pricing rules | No line matches an active wholesale or volume rule for this customer, so there is nothing to apply. |
| Wholesale pricing already applied | Re-applying recomputes every discount from the variant's original price. Discounts never stack. |
| This draft came from a negotiated quote | Repricing would overwrite the negotiated line prices with your current rules. |
| Apply payment terms | Shown after repricing when a payment term matches the customer. |
| Send proforma invoice | Emails a proforma for the draft and records it in Invoices. |
Repricing doesn't keep line-item custom attributes that were added manually in the Shopify admin. Add those after applying wholesale pricing.
Example: a phone order from a Gold account
A café chain tagged tier-gold and net30 phones in a repeat order. Your rules give Gold accounts 40% off, and a volume rule takes a further 5% off at 24+ units of the same product, with Combine Wholesale & Volume set to Stack both discounts.
| Line | Qty | Original | Proposed | Rule |
|---|---|---|---|---|
| House blend 1 kg | 24 | $32.00 | $18.24 | Gold trade + volume tier |
| Decaf 1 kg | 6 | $34.00 | $20.40 | Gold trade |
| Paper cups (custom line) | 10 | $9.00 | — | — |
The team checks the preview, clicks Apply wholesale pricing, then Apply payment terms (Net 30 matches the net30 tag) and Send proforma invoice. The custom cups line keeps the price typed in Shopify, because custom lines aren't product variants that a rule can match.
Tips and common mistakes
- Attach the customer first. Without a customer, tag-based and customer-specific rules can't match and the draft shows No customer.
- Re-apply after editing lines. Changed quantities may cross a volume tier. Applying again recomputes from original prices, so nothing doubles up.
- Be careful with quote drafts. If the draft shows From quote, repricing replaces the negotiated prices. Skip it if the quote price is the agreed one.
- Check the rule column. If a line shows an unexpected rule, look at the customer's tags and Settings → Pricing → Rule tiebreaker (advanced).
- Inactive rules don't apply. Rules in Draft status or outside their Active dates are ignored, just like at checkout.
Frequently asked questions
Does repricing change the draft in Shopify?
Yes. Apply wholesale pricing updates the draft order in Shopify with per-line Wholesale price discounts that match your active rules.
Can I apply pricing twice by mistake?
Re-applying is safe. Discounts are always recalculated from each variant's original price, so they never stack.
Why does a draft say no lines match?
None of its lines match an active wholesale or volume rule for that customer. Check the customer is attached and has the right tags.
Do volume tiers apply to draft orders?
Yes. The preview uses both wholesale and volume rules, following your Combine Wholesale & Volume setting.
Can I send an invoice from the draft?
Yes. After repricing, click Send proforma invoice. The proforma is emailed to the buyer and listed under Order forms → Invoices.
